Where Do We get your Personal Data from?

We obtain your personal data primarily from you. You provide us with your data when sending us messages through the contact form. Detailed information about the scope of processed data can be found in the section “To what extent do we process your personal data”.

For What Purpose Do We Process your Personal Data?

We process your personal data to ensure the functionality of our service.

To What Extent Do We Process your Personal Data?

We process your data in the following scope:

  • first and last name
  • email address
  • phone number
  • information about how you use our services (if you consent to cookies*)
  • IP address from which you communicate with our service
  • information about the device you use when visiting our site, including its
    settings (e.g. browser, screen resolution)
  • history of your communication with us
  • additional information about yourself that you may have included in correspondence with us

* What are Cookies?

These are small text files commonly used on the Internet, stored on your end device. You can independently control how cookies are handled through your browser settings (ability to set acceptance or blocking of cookies).

Blocking cookies may result in the inability to register/log in to your account in the service or/and the inability to make a purchase.

  • content presentation – protection against displaying the same content to the user again,
  • form handling – protecting the service against the operation of robots (computer programs used to automatically examine the content of the website),

On What Legal Basis Do We Process your Data?

The legal basis for processing your data depends on the purpose for which we process it.

And so:

  • data related to responding to a message sent to us through the contact form is processed based on your consent – sending us a message through the contact form is treated as an explicit action confirming your desire to process your data for the above-mentioned purpose;
  • data regarding your use of the service website, which we obtain through cookies, is processed based on your consent, expressed in accordance with Article 173 of the Telecommunications Law.

How Long Do We Store your Personal Data?

We store your personal data as long as necessary for purposes related to the accountability of our actions, to which we are obligated by personal data protection regulations, but not longer than 5 years from their collection.

Who is the Recipient of your Personal Data?

We disclose your data to other entities only when it is necessary to ensure the functionality of our service. We do not sell your data or commercially share your data with third parties. We may transfer your personal data to our partners – companies providing IT services for us and providing us with software to run the service.

We only provide our partners with the data that is necessary. We would like you to know that where possible, we use anonymization or pseudonymization tools, which are actions that make you impossible to identify for our partners, but the Company still has your data.

How Do We Process Personal Data?

We process personal data in accordance with applicable law, in particular in accordance with the provisions of the Personal Data Protection Act and in accordance with the General Data Protection Regulation.

We only process data that is necessary to achieve a given processing purpose; for each process, we have analyzed compliance with this rule.

You should have full knowledge of what happens with your data. This document, in which we try to provide you with complete information about the rules of processing your personal data, is a manifestation of this.

c) Accuracy rule
We strive to ensure that your personal data in our systems is up-to-date and true. If you find that in some area your personal data has not been updated by us or is incorrect, please contact us at biuro@pokoj.waw.pl.

d) Integrity and confidentiality rule
We apply necessary measures to safeguard the confidentiality and integrity of your personal data. We are constantly improving them, along with the changing environment and technological progress. Security measures include physical and technological measures limiting access to your data, as well as appropriate measures to prevent the loss of your data.

e) Accountability rule
We want to be able to account for every action we take on personal data, so that if you ask, we can provide you with complete and reliable information about what actions we performed on your data.

What Consents Do We Collect?

If you have given consent, you have the right to withdraw it at any time by writing an email to biuro@pokoj.waw.pl or by mail to Ad Libertatem Sp. z o.o.“, ul. Solec 81b/73a, 00-382 Warsaw with a note “Personal data”.

Please note that from the moment you withdraw your consent, a certain amount of time may pass before the notification is accepted into the system and all databases are synchronized. We will make efforts to ensure that these actions take place without undue delay, but in no case can it take longer than one month.

Remember that withdrawing consent does not affect the lawfulness of processing based on consent before its withdrawal.

What are your Rights?

The law on personal data protection gives you a number of rights that you can exercise at any time. As long as you do not abuse these rights (e.g. unjustified daily requests for information), using them will be free of charge for you and should be easy to implement.

Your rights include:

a. The right to access the content of your personal data
This right means that you can ask us to export from our databases the information we have about you and send it to you in one of the commonly used formats (e.g. XLSX, DOCX, etc.).

b. The right to correct data
If you find out that the data we process is incorrect, you have the right to ask us to correct it, and we will be obliged to do so. In such a case, we have the right to ask you to present some document or other evidence for the change of data.

c. The right to restrict data processing
If, despite our compliance with the adequacy rule, which we write about in the section “How do we process personal data”, you believe that we process too broad a catalog of your personal data for a specific process, you have the right to demand that we limit this scope of processing. As long as your request does not contradict the requirements imposed on us by applicable law, or is not necessary for the performance of the contract, we will comply with your request.

d. The right to request data deletion
This right, also known as the right to be forgotten, means your right to request that we delete from our database systems and from our documentation all information containing your personal data. Please note that we will not be able to do this if we are obliged to process your data on the basis of legal provisions (e.g. the obligation to ensure accountability of our actions). In any case, however, we will delete your personal data to the fullest extent possible, and where this is not possible, we will ensure their pseudonymization (which means the inability to identify
the data subject without the appropriate key of connections), thanks to which your data, which we must keep in accordance with applicable law, will be available only to a very limited circle of people in our organization.

e. The right to transfer data to another data administrator
In accordance with the general regulation on the protection of personal data, you can ask us to export the data you provided to us during all our contacts and the entire cooperation to a separate file, for the purpose of further transfer to another data administrator.

If you believe that we have violated the rules of processing your personal data in any way, you have the right to file a complaint directly with the supervisory authority (from May 25, 2018, this is the President of the Office for Personal Data Protection). As part of exercising this right, you should provide a full description of the situation and indicate what action you consider to violate your rights or freedoms. The complaint should be submitted directly to
the supervisory authority.

What is the Right to Object?

Separately, we want to inform you that you also have the right to the so-called objection to the processing of your personal data.

You submit the right to object when you do not want us to process your personal data for a specific purpose. In such a case, we will continue to process your data for the needs of other processes (for other purposes), but no longer for the purpose for which you objected.
